Bartender & Cashier Quick FAQ

  • Important Note: Most bar and cashier workstations are not configured as Passcode Secure and this FAQ will assume that to be the case. For those systems configured as Passcode Secure, this FAQ will assume that operators have identified themselves, using an assigned Passcode, prior to each operation.

Time Clock Operations

How do I time in?

Touch Other Options once, then Time Clock and enter your Passcode.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

If a message from management is displayed, it may be deleted after reading it. If Delete is greyed out, a reply is required; touch Reply, compose a reply, touch Send Message, touch Delete.

Select a job and touch Punch IN. (If prompted for "Room", select one).

How do I time out?

Touch Other Options once, then Time Clock and enter your Passcode.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).
  • Note: Depending upon system configuration, bartenders and cashiers may be required to close their cash drawers before Timing-Out, if so, see How do I close my register?, below, for details.
  • *Note:*Depending upon system configuration, bartenders and cashiers may not be permitted to Time-out with open checks. If so, close, discount and close, void or transfer all open guest checks before Timing-out.

If a message from management is displayed, it may deleted after reading it. If Delete is greyed out, a reply is required; touch Reply, compose a reply, touch Send Message, touch Delete.

Touch Punch OUT.

If prompted, enter gross cash tips received and touch OK. If further prompted, enter amounts tipped-out to bus, barback, etc. Touch Save and Continue.

Register Operations

How do I assign my register?

  • Note: A manager's Passcode may be required to assign a register.

Touch Other Options/More Options to locate Assign Register and press it. Enter your Passcode at the prompt and Touch Your Name. If Your Name is not displayed, you must Time-In first (see above). Touch OK.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

How do I sign off of my register?

Touch Other Options/More Options to locate Sign On/Off and press it. Touch Yes, touch OK.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

How do I sign back on to my register?

Touch Other Options/More Options to locate Sign On/Off and touch it. Enter your Passcode at the prompt, touch OK.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

How do I open the register without a sale?

  • Note: A manager's Passcode may be required to perform a No Sale.

Touch Other Options/More Options to locate No Sale and touch it. If requested, enter your Passcode at the prompt.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

How do I pay money out (or in)?

  • Note: A manager's Passcode may be required to perform a Paid Out/In.

Touch Other Options/More Options to locate Pay Out/In and touch it. If requested, enter your Passcode at the prompt.

Select a Paid-Out or Paid-In. If prompted, select a Payment Method. Enter the amount to be paid out or in and touch OK.

  • Note: If no Payment Method window is presented cash is assumed.
  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

How do I use the Pay Check button?

How do I close a check to cash?

Touch Pay Checks CASH, select checks to pay, touch Do it!.

How do I close a check to a non-cash payment method?

  • Note: Cash checks may also be closed using this procedure.

If a check selection window is presented, touch Pay Checks, select a check and touch Do it!. To pay multiple checks, select them and then touch Do it!; touch Yes at each confirmation prompt.

If a check selection window is not presented, touch Review Order and Pay Check.

Credit and gift card checks will request tip entry; enter the tip amount, touch OK, touch Close Check.

For all other checks, select the appropriate payment method by touching it. To close the check entirely to that payment method, touch OK. To pay only a part of the tab balance using the payment method selected, enter that amount and touch OK. Touch the next payment box, the next payment method, and either pay the entire tab balance to that payment method by touching OK, or enter a partial payment amount, touch OK, and repeat.

  • Note: A House Account payment method may require selection of an actual account; enter an Acct#, Ref#, Phone#, or Part of Account's Name and select the account.
  • Note: If the check being closed has more than one payment type that can be tipped, the operator must distribute the tips. Touch Enter Tip and the first payment box to tip, enter the corresponding tip and touch OK. Repeat for remaining tips. Touch Close Check.

How do I combine checks?

Touch Combine Checks, select checks to combine, touch Do it!.

How do I print checks?

Touch Select/Print Check, select checks to print, touch Do it!.

How do I authorize credit and gift cards?

Select the check to authorize and swipe the card. If the card will be used to pay the entire balance of the tab, touch OK

If the card will be used to pay only a part of the tab balance, enter that amount (or select one of the fractional amounts from the keypad) and touch OK. If additional cards will be used for payment, swipe each card, and enter payments. Touch Print Check.

How do I fire held items?

  • Note: This procedure will fire all held items on all courses and will also print the guest check.

If held items exist on any of the presented guest checks, those checks and Select/Print Check(s) are displayed in plum.

Touch Select/Print Check(s), select checks to fire and print, touch Do it!.

How do I assign checks to delivery drivers?

Touch Assign Drivers, select checks to assign, touch Do it!. Select a driver.

How do I close my register?

  • Note: A manager's Passcode may be required to close a register.

Touch Other Options/More Options to locate Register Read or Close and touch it. Enter you Passcode at the prompt. If a Read or Close? prompt is presented touch Close. If a check warning is displayed, touch Yes. Touch OK.

If configured to Blind Close, complete and submit the cash declaration form, management will complete the final Register Close.

If not configured to Blind Close, touch NO at the Print check detail? prompt. If prompted for Operator Detail touch Yes.

  • Tip: If Other Options is not available because a dining room, server, table or check selection window is displayed, touch Switch Room and then Back (graphical tables) or just Back (traditional tables).

Tab and Counter Orders

  • Important: Bartenders and cashiers must be Assigned to their register before any Tab or Counter Order transaction is permitted. See How do I assign my register?, above, for details.

Bartenders perform Tab orders, cashiers perform Counter Orders. Tabs and Counter Orders are functionally equivalent, they are merely labeled differently depending on the workstation type. For simplicity, this FAQ will refer only to Tab; for cashier operations at a cashier workstation substitute Counter Order for any reference to Tab.

How do I start a new tab?

If a graphical view of the bar or dining room is not displayed touch Tab.

If a Select a Check for payment window is displayed, touch Back then Tab.

Select a table or bar stool, use Switch Rooms if necessary.

If prompted, enter the number of guests.

How do I add-on to an existing tab?

If a graphical view of the bar or dining room is not displayed touch Tab

If a Select a Check for payment window is displayed, touch Back then Tab.

Select a table or bar stool, use Switch Rooms if necessary. Select the tab.

How do I combine tabs?

If a graphical view of the bar or dining room is not displayed touch Tab

Touch Other... at the bottom of the window, then touch Combine Checks.

Select tab to combine from those presented, and then touch Do Combine Checks.

How do I print a tab?

Touch Print Check and touch a table or bar stool. To print multiple tabs touch Print Check, then Print Checks..., select tables to print, touch Do Print Check.

  • Note: A tab may also be printed by accessing it as if adding-on to it and touching Guest Check (or Review Check and Print Guest Check).

How do I authorize a credit or gift card?

If a graphical view of the bar or dining room is not displayed touch Tab

Select a table, use Switch Rooms if necessary. Select the tab by touching it.

Swipe the card. If the card will be used to pay the entire balance of the tab touch OK.

How do I close a tab to cash?

How do I close a tab to a non-cash payment method?

  • Note: Cash tabs may also be closed using this procedure.

For all other tabs, select the appropriate payment method by touching it. To close the tab entirely to that payment method, touch OK. To pay only a part of the tab balance using the payment method selected, enter that amount and touch OK. Touch the next payment box, the next payment method, and either pay the entire tab balance to that payment method by touching OK, or enter a partial payment amount, touch OK, and repeat.

  • Note: A House Account payment method may require selection of an actual account; enter an Acct#, Ref#, Phone#, or Part of Account's Name and select the account.

Tab Orders - Standees and Pick-Up (using search)

Customer Locator

How do I find a customer by phone number?

At the Phone field, type a telephone number and touch Enter. No hyphens are necessary and the area code may be omitted unless it is other than the local default.

How do I find a customer by account number?

At the Acct/Card field, type a customer's account number and touch Enter.

How do I find a customer by name?

At the Name field, type the first few letters of the customer's Last name.

How do I list all customers?

Touch Customer List and choose a customer from those displayed by touching it.

How do I enter a credit card on file?

  • Note: Credit cards may only be stored for existing customers. If entering a new customer, touch Start Order after entering phone and name, to save the record, then Back to Customer.

Touch Credit Cards then (Add New). At the Card Number prompt, swipe a card through the mag stripe reader, or enter the card number using the numeric keypad and touch OK. If prompted, enter the expiration date in the format MM/YY and touch OK. If prompted, enter the card validation code (cvc) and touch OK. If prompted, enter the Name on Card and touch Enter. If prompted, enter the Street Address in the format Number (space) Street Name.and touch Enter. If prompted, enter the five digit zip code and touch OK. Touch Yes at the Confirm prompt (or touch NO to re-enter the information presented). Press Done to finalize card number entry.

How do I use Caller ID?

Touch Callers and choose a line by touching it. (The most recent call is highlighted in light green, older calls are highlighted in dark green).

Order Information

How do I start a Dine-In, Pick-Up or Delivery order?

From the Order Information window touch Dine-In, Pick-Up or Delivery as appropriate.

How do I note directions for a customer?

From the Order Information window touch Directions (if not already selected and displayed in salmon) and enter directions. If needed, pop up the on-screen keyboard by touching KB ON.

How do I note special instructions for a customer?

From the Order Information window touch On Guest Check and enter special instructions. If needed, pop up the on-screen keyboard by touching KB ON.

How do note a different ship-to address for a customer?

From the Order Information window touch Ship-To and enter shipping information. If needed, pop up the on-screen keyboard by touching KB ON. Note that ship-to information entered here is one-time, and is not saved to the customer record. Permanent ship-to information must be entered by management through the Customer List.

How do I view a customer's order history?

From the Order Information window touch History. Select a previous order in the left window by touching it to display detail for that order in the right window. Touch History Done when through reviewing history.

How do I repeat an order from a customer's history?

From the Order Information window touch History. Select a previous order in the left window by touching it to display detail for that order in the right window. With the correct order selected, touch REPEAT Dine-In or REPEAT Pick-Up or REPEAT Delivery as appropriate.

How do I tell an order When Needed?

From the Order Information window touch When Needed.... Select a date and time from those presented.

Pick-Up & Delivery Order Dispatcher

How do I view all checks, including future orders?

From the Order Dispatcher touch View, then All Checks.

How do I view one driver's checks?

From the Order Dispatcher touch View, By Driver and select the driver's name.

How do I view checks out for delivery?

From the Order Dispatcher touch View, then Running (Out).

How do I return to the normal view?

From the Order Dispatcher touch View, then New Only.

How do I assign checks to a Run Basket?

From the Order Dispatcher window, select a numbered Run Basket  1  -  4  (or  5  -  8  after touching  » ) by touching it, then touch one or more checks to include them in the basket. Touch a check again, if necessary, to remove it from the selected basket. Touch the Run Basket button again to end assignment.

How do I assign a Run Basket to a driver

  • Note: Checks must be first assigned to a Run Basket (see above) before the basket may be assigned to a driver.

From the Order Dispatcher window, select a numbered Run Basket  1  -  4  (or  5  -  8  after touching  » ) by touching it, then touch Run! and select a driver name from those presented.

As a driver, how do I tip out delivery checks?

From the Order Dispatcher touch View... then By Driver and select your name. Highlight an order to tip and touch Enter Tip; enter the tip tip amount and touch OK.

As a driver, how do I close exception checks?

  • Note: Exception checks include house account checks being closed to cash, and previously authorized credit or gift card checks being closed to cash.

From the Order Dispatcher touch View... then By Driver and select your name. Select an exception check by touching it and then touch Open Check.

Touch Pay Check and enter an assigned Passcode.

Credit and gift card checks will request tip entry; enter the tip amount, touch OK, touch Close Check.

For all other checks, select the appropriate payment method by touching it. To close the check entirely to that payment method, touch OK. From the Order Dispatcher touch View then By Driver and select your name. Touch Close Checks..., then Yes at the Close checks? prompt.

How do I start a new tab?

How do I use the course buttons?

Course buttons (***1***, ***2***, ***3***, etc.) are used to separate menu items on kitchen printers. Course one, ***1***, is selected by default, and is highlighted in light green to indicate this. All items eligible for coursing will be included in course one as they are ordered. To change to a subsequent course, touch its button; subsequent menu items ordered become part of that course. Change back to a previously selected course, if necessary, by touching it.

An additional course, *TO GO*, may also be available. Use *TO GO* to clearly indicate to the kitchen those items that should be timed and packed "TO GO".

How do I do seat selection while ordering?

If seat selection is on for all orders, the operator will be prompted to seat select each item. If seat selection is used sometimes, Seats will have replaced the quantity buttons at the bottom of the Order Entry window. If Seats are not displayed, enter a quantity of 999.

Seat one is selected by default, and is highlighted in alternating pink and light blue to indicate this. Until changed, all items subsequently ordered will be associated with seat one. To change to a subsequent seat, touch its button. Until changed again, subsequent menu items ordered become associated with that seat. Change back to a previously selected seat, if necessary, by touching it.

On-Screen Check Building

If configured, the left section of the Order Entry window is used for On-Screen Check Building. Menu items, modifiers, quantities, courses, seat numbers and notes are displayed here as they are added for instant reference. The window also contains shortcut keys duplicating many of those found in the Order Review window.

How do I use the Item Note button?

Touch Item Note after highlighting an item or any of its modifiers in either the On-Screen Check Building window or the Order Review window. Compose a note and touch Save, touch Both if prompted Print where?.

How do I use the Void Item button?

After picking up the tab, touch Review Order from the Order Entry window to advance to the Order Review window.

How do I scroll the guest check window?

Use the navigation buttons located along the left side of the guest check window. Use Home to scroll to the top of the check, Page Up to scroll one page up, Page Dn to scroll one page down and End to scroll to the bottom of the check.

  • Tip: The operator may also drag a finger up or down in the far right of the guest check window to scroll the display.

How do I hold menu items?

The Hold & Fire feature allows an operator to enter menu items for an entire order at once, but defer firing of all or part of the order to a later time. The are two ways to do this: With Send & Continue, or with Courses.

To use Hold & Fire with Send & Continue, order items to be immediately fired and touch Send & Continue (from On-Screen Check Building or from Order Review). Then order next course menu items, touch Review Order, touch Hold/Fire All. Held items are displayed in plum. Touch Done to exit the tab.

To use Hold & Fire with Courses, menu items are first ordered separated by course (See How do I use courses, above, for details). Then touch Review Order and Hold/Fire All. First course items are highlighted in flashing dark blue and will be fired, items in subsequent courses are highlighted in plum, and will be held.. Touch Send & Done to fire first course items and exit the tab.

  • Note: When used with Courses, Hold/Fire All is a tri-state toggle. Touching it once marks first course items as not held, all subsequent courses as held. Touching it again marks all courses as held. Touching it a third time marks all courses as not held. Touching it yet again repeats.

To designate seats after items have been ordered, from the Order Review window, touch Select Seats. All items are displayed on Seat 1 on the left, subsequent seats are displayed on the right; touch a red seat button to change that seat.

Move items by touching them, changing the right seat as needed. To correct errors, move the item back to seat one, then to the correct seat.

To split an item over multiple seats first touch Split Item, and then the item. Select the seats to split the item over by touching them once. Additional weight may be given to a seat by touching it again. Touch Continue when done.
